Refund and Cancellation Policy

BOOKING AND DEPOSIT

All bookings must be made in writing and will be confirmed promptly in most cases. A non-refundable deposit of INR 30,000 per person (nett) must be received within 7 days of confirmation, after which an invoice will be issued reflecting the deposit received.

The balance payment is due 20 days prior to the tour departure. If the deposit is not received within the stipulated time, the booking will be considered cancelled automatically.

For late bookings (made less than 30 days before departure), 100% payment is required at the time of booking.

BOOKING CONFIRMATION
Upon receipt of the booking (filled with all necessary information), we will send you a written confirmation via email or WhatsApp. As per this confirmation, we guarantee all services as mentioned in our programme.

TRAVELLERS WITH SPECIAL NEEDS
Any disability requiring special attention must be reported at the time of booking. We will make reasonable efforts to accommodate the special needs of disabled guests. However, we are not responsible for any denial of services by service providers. Hotels, restaurants, motor coaches, minibuses, and vans may not be equipped with wheelchair ramps. We cannot provide individual assistance to a tour member for walking, dining, getting on/off transportation vehicles, or other personal needs. Travellers who need assistance must be accompanied by a qualified and physically able companion.

REFUNDS FOR UNUSED SERVICES
No refunds will be made for any unused services once travel arrangements have commenced. In case the guest cannot find the arrival transfer/driver at airports, they must call the emergency contact number in the travel documents. Any complaints during the trip should be made immediately to the local representative, who will do their utmost best to resolve any disputes. Approved refunds will be credited back to the original payment method or bank account within 7-10 days

CANCELLATION CHARGES

  • 31 days or before: Full deposit

  • 30–25 Days: 35% of the Tour Price

  • 22–16 Days: 50% of the Tour Price

  • 15–0 Days: 100% of the Tour Price

CHANGES TO ITINERARIES
If necessary, for reasons beyond our control, Green Vacaay LLP reserves the right to amend or cancel any of the arrangements.

TERMS & CONDITIONS

  • Standard check-in time at the hotel is normally 3:00 pm, and check-out is 11:00 am. Early check-in or late check-out is solely at the discretion of the hotel.

  • A maximum of 3 adults are allowed in one room. The third occupant shall be provided a mattress/rollaway bed.

  • The itinerary is fixed and cannot be modified. Transportation will be provided as per the itinerary and will not be at disposal. For any paid activity that is non-operational due to unforeseen reasons, we will process a refund, which should reach the guest within 30 days of processing.

  • Any complimentary activity that is not charged to Green Vacaay LLP and the guest will not be refunded.

  • Air-conditioning will not be functional in cool or hilly areas.

  • If your flights involve a combination of different airlines, you may have to collect your luggage at the connecting hub and recheck it for the onward journey.

  • Green Vacaay LLP reserves the right to modify the itinerary at any point due to reasons including, but not limited to: Force Majeure events, strikes, festivals, weather conditions, traffic problems, overbooking of hotels/flights, flight cancellations, closure of places of visit, etc. While we will make suitable alternate arrangements, we will not be held liable for any refunds or compensation arising out of these changes.

SECURITY DEPOSIT AND HOTEL POLICIES

  • Certain hotels may ask for a security deposit during check-in, refundable at check-out, subject to the hotel’s policy.

  • The booking price does not include expenses of a personal nature, such as laundry, telephone calls, room service, alcoholic beverages, mini bar charges, tips, portage, camera fees, etc.

  • The package price doesn’t include special dinners or mandatory charges levied by hotels during New Year, Christmas, or special occasions. Green Vacaay LLP will try to communicate the same during the booking process, but this information may not always be available.

  • Cost of deviation or extension of the ticket validity is not included.

  • The package does not cover the cost of any personal items or services outside of the specified itinerary.

VISA DISCLAIMER CLAUSE

  • In the event of a visa rejection by the consulate or embassy, Green Vacaay LLP shall not be held liable for any loss, expense, or damages incurred. This includes, but is not limited to, non-refundable payments made towards flights, accommodation, tours, or any other travel-related services.

  • All fees paid towards the trip are subject to the standard cancellation policies and are non-refundable due to visa denial, irrespective of the reason provided by the visa-issuing authority.

PAYMENT SCHEDULE

  • At the time of booking: Full deposit (as communicated)

  • 60–46 days before departure: 50% of the Tour Price

  • 45–31 days before departure: 75% of the Tour Price

  • 30 days or less before departure: 100% of the Tour Price

DISPUTES AND JURISDICTION

  • For cancellations, refunds, or any disputes, the exclusive jurisdiction lies with the courts in Mumbai, Maharashtra.
