Terms & Condition

The Booking:

Your contract is with GREEN VACAAY LLP. A contract exists between us once we have confirmed your booking on the tour of your choice, and we have received your signed booking form or a written confirmation via WhatsApp or email, along with the applicable deposit.All relevant sections must be correctly and fully completed. By confirming your booking (either via form or WhatsApp/email), you confirm that you and all other persons included in the booking have read, understood, and agreed to the Terms & Conditions, and are entering into a binding contract with Green Vacaay LLP.

Deposit

Upon confirmation of the booking, a deposit of 50% of the tour cost per person must be paid to Green Vacaay LLP to secure the reservation.

Payments:

For the services contracted, a 50% advance payment is required to hold the booking on a confirmed basis. The remaining balance must be paid at least 20 days prior to your departure date.In certain cases (e.g., special train journeys, peak season hotel bookings such as Christmas or New Year), full payment may be required in advance. Green Vacaay LLP reserves the right to determine the appropriate advance amount depending on the nature and urgency of the services.

Cancellations:

If you or any member of your party wishes to cancel the booking, you must notify us in writing. The effective date of cancellation will be the date on which we receive the written notice.

 Liability:

Green Vacaay LLP acts solely as a tour operator and does not own or control any hotels, transport companies, or other service providers involved in your travel arrangements.

We shall not be held liable:

  • Where failures are due to actions of the customer;

  • Where failures are due to unforeseeable or unavoidable acts by third parties not connected with the contracted services;

  • Where failures result from unusual or unforeseeable circumstances beyond our control;

  • For any consequences arising from natural calamities, political disturbances, delays, technical failures, or other force majeure conditions.

We make all reasonable efforts to ensure that services meet appropriate standards and are delivered professionally.

Complaints

We strive to ensure an enjoyable and smooth travel experience. Should any issue arise during your trip, please immediately inform your tour manager so it can be resolved promptly. If your complaint is not resolved during the trip, you must submit a formal complaint in writing within 28 days of the end of the tour. Failure to do so may impact the investigation and resolution process. Jurisdiction: Any disputes shall be subject to the jurisdiction of courts in India only.

Passports & Visas

All travelers (except citizens of Nepal & Bhutan) require a valid passport (minimum 6 months validity) and a valid visa to travel to India. Visa and passport processing are not included in the tour cost unless otherwise stated.

Visa Disclaimer Clause

In the event of a visa rejection by the consulate or embassy, Green Vacaay LLP shall not be held liable for any losses, costs, or damages incurred. This includes, but is not limited to, non-refundable payments made toward flights, accommodations, tours, or any other travel-related services. All fees paid toward the trip are subject to standard cancellation policies. No refund will be made due to visa denial, regardless of the reason given by the visa-issuing authority.

Early Check-in / Late Check -out

Standard check-in/check-out time at most hotels is 12:00 PM IST. Early check-in or late check-out is not included in the package price and is subject to availability and hotel policy. Requests can be made but are not guaranteed.

Extra Uses of our Vehicle

The vehicle provided during the tour (car/coach with driver) is for the services mentioned in your itinerary. Extra usage of the vehicle beyond the scheduled itinerary is not included, unless explicitly specified.

Rights to amend the itinerary if required

Once the tour has commenced, the itinerary will be followed as finalized. However, in the event of unforeseen circumstances beyond our control, we reserve the right to amend all or parts of the itinerary to ensure the safety and well-being of our guests.

Surcharge

Tour prices are based on prevailing rates of exchange, fuel, and taxes. In the event of a sudden hike in fuel prices, airfare, or government-imposed taxes, we reserve the right to apply a surcharge. The first 2% of such increase will be absorbed by us; any amount exceeding that will be charged to the customer.

Our Liability

Green Vacaay LLP accepts responsibility for the arrangements that are directly under our control, and we are liable for the proven negligence of our staff. However, we are not liable for:

  • Any injury, death, loss, damage, or delay caused by an act or omission of third-party service providers.

  • Any inconvenience caused by force majeure situations such as war, political unrest, natural disasters, industrial disputes, or technical problems.

  • Any event or situation that could not be predicted or avoided, even with due care.
